Genesis: Practical Example
Entering data collected on paper forms from exhibitions: A customer frequently went to exhibitions and collected information about prospects on paper forms. Back at the office, the information had to be entered in GoldMine. The problems they experienced were:
- Data entry was often incomplete, because operators had to switch to so many different areas of GoldMine - and as a result forgot which areas they had completed.
- Data entry was tedious and time consuming.
- Sales staff could not find certain prospects afterwards, because the source was not filled in, or a scheduled call was omitted.
- Duplicate records were created, because of illegible handwriting and different spelling of prospect names.
The solution: Genesis and it's unique FormDesigner technology. The internal GoldMine administrator was able to create a data entry screen identical to the paper form within a few minutes.
Time savings: Dramatically reduced time taken to enter data, all the information (from CONTACT1 and CONTACT2) was now available on one screen, and in the same order as the paper form. The keyboard shortcuts and the ability to schedule multiple calls in one operation contributed to further time savings. Operators were particularly pleased by the feature that enabled them to save a 'standard' call to a template, and then load it from this template with one click.
The checkbox control alone makes Genesis worthwhile. In previous years I spent ages clicking the lookups and selecting 'Yes' or 'No' to indicate interest in our range of 14 products. With the Genesis checkbox, this was reduced to one simple click", remarked an operator.
Reduced errors and duplicates: Genesis checks for duplicates as you type, and also validates mandatory fields. Because everything is on one screen and it follows the layout on the paper form, the incidence of incomplete records was dramatically reduced.
